The main Manage Quotes screen is found by clicking the Settings icon in the lower left corner, then clicking Manage Quotes.
We recommend you bookmark this page for easier navigation. To do so, click the bookmark icon at the top right of the screen, just to the left of your login name.
The Manage Quotes screen looks and functions similarly to the Order Processing page. From this screen you can manage existing quotes, create new quotes, create and respond to quote notes and convert quotes to orders.
Clicking on a quote number takes you to the actual quote, which you can edit or delete.
You can edit all of the sections of the quote from this screen, or you can navigate to other open quotes by clicking on the quote in the grey sidebar on the left. Quote numbers are automatically assigned sequentially.
Adding items to your quote is simple. You can add items that are already in inventory or you can add news ones that aren’t already in your store. You have complete control of the pricing for each item you add.
To add an item, click the Add Item(s) button.
In the Add Item(s) dialog box, you can use the Lookup button to launch the Product Lookup dialog box, where you can select existing products to add to the quote. When you select a product, it populates in the Add Item(s) dialog box.
You can also add a new item that isn’t already in your inventory. Enter the field information (Code, Name, SKU, etc) manually. You can also add new or existing attributes. When you are finished, click the Add button, or, if you have another item to add, click the Add+ button.
When your quote is complete and ready to send to the customer, click the Send Quote button. Then click OK in the box that appears. The customer is emailed the quote.
You can start a new quote by using the Copy Quote button, which uses the displayed quote as a template. After clicking OK, a new quote is created with the data from the previous quote.
When you are ready to convert a quote to an order, click the Convert Quote button. This then creates an order, based on the quote.
When a quote is converted to an order in the admin, the following actions occur:
On the Manage Quotes page, the quote gets a new status of Converted to Order.
Inventory is correctly reduced when a quote is converted to an order in the Miva admin.
You can set up custom expiration dates for each quote you send.
To do so, from the Manage Quote page, click the radio button next to “Quote expires” and then click the date field.
Once set, the customer will see the expiration date in the email they receive about the quote, as well as on the quote detail page.
Once the quote expires, the customer will not be able to accept the quote and complete checkout.
Two Scheduled Tasks are automatically created when the Manage Quotes module is installed.
Sent Expired Quote Emails: Notifies the customer when their quote expires. This email is enabled by default.
Send Quote Reminder Emails: This sends the customer an email every X days until the quote expires. This task is disabled by default so you will have to turn it on if you want to use it. The settings for it are located on the Quote Configuration tab under Utilities. The default setting is every 10 days.
